JOB TITLE: Event Coordinator

REPORTS TO:President, Regional Directors

FUNCTION: Key liaison with State and Local Associations and Regional Directors/Association; provide support for State and Local Association progress, communication with Association and State and Local event coordination.

RESPONSIBILITIES:

The Event Coordinator (EC) works directly with the State and Local Association Board of Directors and their committees to produce flyers, notices, brochures, scholarship applications and event announcements, provide registration for all state and local events except education, i.e. golf outings, summer outings, trade shows; negotiate housing, rental space and meal contracts for all state and local events identified above plus board meetings and annual meetings. The EC manages the billing for events, the processing of payments for the events and coordinates payment of related expenses with their respective State and Local Associations.

The EC is responsible for coordinating and ordering Lumber Person of the Year plaques and related materials, updating sponsor boards, producing and coordinating all mailings including working with printer on fulfillment, proving reconciliations of all events’ finances, updating the website information, calendars and sponsor lists, and tracking all event attendance and scholarships for all assigned State and Local Associations.

The EC is responsible for maintaining the membership records, including board of directors and committee records for their assigned State and Local Associations in the NRLA iMIS database. The EC provides a weekly update to their respective Regional Director of all open items, meetings, etc. related to their assigned State and Local Associations.

Occasional travel is required for some events. Travel and support work is mandatory at the NRLA’s annual Expo.

The EC assists their assigned Regional Director with the above as well as administer to do lists following each board meeting, provide marketing and/or phone campaigns related to the above, assemble binder for new board members, etc. for each of the assigned State and Local Associations.

QUALIFICATIONS:

Strong project management skills are required.  Individual should have a strong work ethic, be well organized, and the ability to manage multiple, simultaneous events.  Candidates must have excellent writing and communication skills, appropriate telephone manner, as well as experience in creating marketing pieces and working with a database.

3-5 years experience in related position; coordinating and planning events, managing multiple events, negotiating event contracts.
