Code of Conduct for Exhibitors and Non-Exhibiting Vendors

All exhibits, activities, and/or personnel must confine their activities within the exhibitor's table space and cannot interfere with the use of other exhibits or impede access to them or impede the free use of the aisle. Exhibitors shall arrange their exhibit area so that they do NOT obstruct other exhibits.

Distribution by exhibitors of any free printed matter, promotional materials, etc. is strictly limited to the confines of the exhibitor's table.

To preserve the integrity and to ensure the value of exhibit space, non-exhibiting suppliers, industry partners, and/or vendors are not allowed on the floor. Non-Exhibiting vendors may participate in any/all educational portion of the annual conference. However, non-exhibiting and non-sponsoring organizations will not be permitted to solicit business within the exposition area nor in any public spaces controlled by ESSAE and the Albany Capital Center. Non-exhibiting suppliers or vendors of goods and services are prohibited from handing out promotional materials and selling off the floor if not registered to do so.

Exhibitor representatives should be attired professionally and maintain a businesslike climate conducive to the conference. The exhibitor must, at its expense, maintain and keep its exhibit table and area clean and in good order in accordance with the conference.

Exhibitors may not deface or otherwise obstruct the logo or branding of materials or events sponsored by other companies throughout the conference, i.e., signs, badge holders, conference bags, etc.

Exhibitors are prohibited by brief-casing - handing out promotional materials of any kind anywhere outside of your booth or sponsored space. Exhibitors must refrain from selling outside their booth space.

Badges must be worn at all times.

A “booth” includes one high-top table and barstool height chair. Displays will be limited to table pop-up banners, tabletop displays, and small pull-up banners. Exhibitors are prohibited from erecting backdrops or display panels that block the visibility of other vendors.

All material used for decoration, i.e., paper, cardboard, cloth, etc., shall be a flame-retardant type. Safety and fire exit and equipment must be left accessible and in full view at all times.

The show manager reserves the right to remove or have removed at the exhibitor’s expense any item(s) not meeting the show criteria. No exhibitor may sublet, assign, or apportion any part of the space allotted, or represent, advertise, or distribute literature for any other firm or individual without prior written request and approval by ESSAE.

The exhibitor shall comply, at the exhibitor’s sole cost and expense, with all applicable national, state, city, municipal, and other governmental regulations, including, but not limited to, fire and safety laws and with the applicable rules and regulations of the facility in which the Exhibition is held.
